1. About QPOS
QPOS is a SaaS-based Point of Sale (POS) and Inventory Management application (mobile app) derived from a robust POS solution.
It helps shopkeepers and businesses manage products, sales, purchases, stock, invoices, customers/suppliers (“parties”), reports (sales, purchases, profit/loss, stock, expenses, due lists), and staff/role permissions.
QPOS may also support integration with Bluetooth thermal printers for printing invoices, and allows subscription-based usage and multi-user access (staff, admin, business owner).
2. Information We Collect
2.1 Account & Business Information
- Business/shop name
- Contact details (owner/shopkeeper email, phone number)
- Staff or user profiles (if you enable multi-user/staff access)
- Subscription plan details
2.2 Business Data (Products, Inventory & Transactions)
- Product catalog information (product names, categories, prices, stock levels)
- Sales data — sales transactions, invoices, payment method (excluding sensitive payment card data unless processed via third-party gateways), customer/supplier (party) details
- Purchase data — purchase transactions, supplier or party details
- Stock and inventory data — stock levels, stock movements (sales/purchases/returns), low-stock alerts, batch or warehouse information (if using warehouse or multi-branch features)
- Reports data — profit & loss, expense logs, due payments, returns, stock reports, tax/VAT/GST info, etc.
2.3 Usage & Device Data
- Device type and OS (for mobile) or browser/OS (for web panel) — if applicable
- App usage data (e.g. which features/modules are used, session times, crash logs) — for improving performance and debugging, when you opt-in
2.4 Optional Data (If You Provide)
- Business documents (e.g. logo, invoice templates)
- Supplier or customer contact information, custom notes or metadata related to sales/purchases
3. How We Use Your Data
- To provide and operate the core services of QPOS: inventory management, sales & purchase processing, stock tracking, invoice generation, reports, and multi-user/role management.
- To manage your subscription plan and billing.
- To synchronize data (if using multiple devices or web + mobile), ensuring consistency and backup in backend systems.
- To generate and print invoices, stock reports, financial reports, profit/loss statements, due & payment reminders, etc.
- To provide features such as user/role management, multi-branch or warehouse management (if you enable them).
- To communicate important information: account notifications, subscription alerts or renewals, updates, announcements, or support messages.
- To improve and maintain the app: debugging, analytics (if enabled), crash reports, usage patterns — to make QPOS more stable, secure, and feature-rich.
4. Data Sharing and Disclosure
We do not sell your business or personal data. Data will be shared only in the following cases:
4.1 Service Providers
We may share certain data with trusted third-party providers for:
- Cloud storage / hosting services — to store your business data, backups, invoices, reports, etc.
- Payment processing — if you use payment gateways for subscription or other payments.
- Analytics or crash-logging services — only if you opt-in and for app performance improvement.
4.2 Legal Compliance & Security
We may disclose data if required by law — for example to comply with legal or regulatory requests, protect rights, prevent fraud, or safeguard security and integrity of QPOS systems.
5. Data Security
QPOS uses modern security practices to protect your data, including encrypted communication (HTTPS/SSL), secure backend servers, controlled access permissions (especially when multiple users/staff are involved), and regular maintenance.
However, no method of transmission or storage can be guaranteed 100% secure. You are responsible for safeguarding your login credentials, device security, and access permissions for staff users.
6. Data Retention
We retain your business data — product catalog, transaction history, inventory records, user profiles — for as long as your account/subscription is active.
If you choose to cancel and delete your account, request data removal, or the subscription expires/terminated, we will delete your data within 30–90 days, unless required to preserve certain records for legal or regulatory compliance (e.g. tax, audit).
7. Your Rights
Depending on your region and applicable laws, you may have rights to:
- Access your stored business data (products, transactions, reports, etc.)
- Correct or update business data or account information
- Request deletion of your data (after account cancellation)
- Export or download your data (for backups or migration)
- Withdraw consent for optional features such as analytics or cloud backup — where applicable

8. Payment & Subscription Information
QPOS uses a subscription-based model. Subscription payments are processed through third-party payment gateways.
We do not store sensitive payment card details on our servers — only minimal payment metadata required for managing your subscription (e.g. subscription status, plan, billing date).
All payment processing is handled securely by the payment provider.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our services, data practices, or legal requirements.
When we update the policy, the “Last Updated” date will be revised. Continued use of QPOS after an update constitutes your acceptance of the modified policy.
